Planning Your 17 – 18 Events? Review This Essential Checklist First!

 

Faculty and staff members: are you planning an event or events in the 2017-18 academic year? Although rooms aren’t released until two weeks after the semester begins, planning in advance and engaging your campus partners is an essential component of your event’s success. The following checklist will help facilitate the success of your event.

  1. Write out a marketing plan for each event that
    a) addresses how you can you collaborate with campus partners to increase awareness and audience and
    b) answers the question, “How does this event meet university goals?”
  2. Check the University Calendar for any dates/days that are Mission Critical Events (i.e., Commencement Week, Convocation, Welcome Week, Finals Week, Friends & Family Weekend, etc.) to avoid scheduling conflicts.
  3. Share your event on the University’s Master Event Calendar.
  4. Engage campus partners early, including:
    Marketing and Communications
    Food Services (did you know there is an incentive for scheduling your catering early? If you book catering 10 working days prior to your event, you will receive a 10% discount!)
    Department of Public Safety
    Facilities Development and Management
    CPA (for space reservation)
